Removing KDM Versions from Holdover Bookings

Remove unnecessary KDM versions from holdover bookings in Mica when venues no longer need all content formats for extended play weeks. Includes step-by-step instructions and practical examples.

When holding over a booking, Mica automatically orders KDM extensions for every version in the booking. If the exhibitor no longer needs a particular version — for example, dropping 3D after the opening week — you can remove it before confirming the holdover. This prevents unnecessary KDM orders and protects against unauthorised screenings.

When to Remove a Version

Remove a KDM version from a holdover booking when:

  • The exhibitor will not screen a specific format in the following week (e.g., dropping 3D shows due to low attendance)
  • A premium format screen (Dolby Cinema, IMAX) is being reassigned to a new release
  • You want to reduce KDM ordering costs for versions that won't be used
Removing a version from the Holdover page is permanent for that holdover week. If you need to add a version back after it has been removed, you'll need to create an additional shipping via the Bookings tab.

Step-by-Step Process

1. Set the booking to Hold

On the Holdovers page, set the status of the booking to Hold using the status dropdown. The booking must be marked as Hold before you can modify its versions and confirm the holdover.

2. Select the booking

Tick the checkbox on the left side of the booking row. You can select multiple bookings if they share the same version combinations — the Versions button will show the count in brackets (e.g., "Versions (3)").

3. Click the Versions button

In the Bulk updates section of the toolbar, click Versions. This opens a dialog listing every version in the selected booking, each with a KDM checkbox.

4. Deselect the versions you want to remove

Uncheck the KDM checkbox next to any version the exhibitor no longer needs. For example, if the booking has both "2D" and "3D" and the exhibitor is dropping 3D, uncheck the 3D row.

You must keep at least one version selected. A booking cannot have zero versions — if you need to end the booking entirely, set its status to Final instead.

5. Save and confirm the holdover

Click Save to close the Versions dialog. The Versions column in the table will update to reflect your changes. Then click the Holdover button to confirm — Mica will extend the booking and order KDMs only for the versions that remain checked.

6. Verify the changes

Navigate to the following playweek using the week selector and confirm:

  • The booking appears with status Held
  • The Versions column shows only the versions you kept
  • The removed versions no longer appear

For a more detailed check, click the booking row to open the Booking Details page and review the Shippings section to confirm KDM orders were placed only for the retained versions.

Practical Examples

Dropping 3D after opening week

A film opens with both 2D and 3D. After the first week, 3D attendance is poor and the exhibitor wants to convert the 3D screen to another title. In the Holdover screen, select the booking, click Versions, deselect "3D", save, and hold over. The next week will only have 2D KDMs ordered.

Premium format screen reassignment

A booking includes both standard and Dolby Cinema versions. The Dolby Cinema screen is needed for a new release starting next week. When holding over, deselect the Dolby Cinema version so only the standard format continues.

Bulk version changes across a circuit

A circuit has 10 venues all showing 2D and 3D. All want to drop 3D for the second week. Filter the Holdover screen to show those venues, select all 10 bookings, click Versions, deselect "3D", and save. All 10 bookings will be updated at once — then click Holdover to confirm them all in one go.

Troubleshooting

Issue Solution
Versions button is greyed out Make sure you've selected at least one booking using the checkboxes. If selecting multiple bookings, they must all have the same version combinations.
Removed version still appears next week Check that you clicked Save in the Versions dialog before clicking Holdover. Verify you're looking at the correct week and refresh the page if data appears stale.
