Plan Venue Statuses — Quick Reference

Plan venue statuses represent the progression of a booking negotiation with a venue or exhibitor. As you work through the booking process, you move venues through different statuses to track where each negotiation stands. Understanding these statuses helps you manage your booking timeline and communicate clearly with venues.

The typical booking progression follows this path: TargetNegotiationRequestedAgreedBooked. However, venues can be marked as Cancelled or Declined at any stage in the process.

Status Reference

Target
Venue has been added to the plan as a potential candidate. No outreach has been made yet. This is the default status when a venue is first added to your plan.
Negotiation
Active discussions with the venue or exhibitor are underway. Terms and conditions are being negotiated between your organization and the venue.
Requested
The exhibitor has submitted an inbound request to play your title. As the distributor, you haven't yet approved or declined this request.
Agreed
The venue or exhibitor has agreed to the booking terms. The booking is ready to be confirmed. You can use Ship-Now at this stage to send DCPs early if needed.
Booked
The booking has been confirmed and created in Mica. KDM orders are triggered automatically. The venue now appears in BookingsBookings.
Cancelled
The booking was agreed or in progress but has been cancelled. This status can be set at any stage of the negotiation process.
Declined
The venue or exhibitor declined the booking request. This status can be set at any stage of the negotiation process.

Changing Venue Status

For a single venue, click the current status badge directly in the venue's row and select the new status from the dropdown. To update multiple venues at once, select them from the list, then click Set status in the action bar and choose the new status. Either way, the status change takes effect immediately.

Status changes trigger automatic shipping rule evaluations. When you move a venue to Booked, KDM orders are generated according to your plan's shipping configuration. For more information on how status changes affect shipping, see Configuring a Plan.
